Privacy Policy

Maintenancelife (“the App”) is an enterprise maintenance management application operated by POI (“we”, “us”). It helps authorized company users manage assets, inspections, preventive-maintenance schedules, work orders, spare parts, maintenance costs, and integrations with other LifeOS business applications.
The App is intended for organizations and is sign-in only. Accounts are provisioned by an organization through LifeOS; the App does not offer public account registration.
1. Data we collect

2. Face ID and device biometrics
Face ID or another device biometric may be used to unlock an existing signed-in session. Biometric matching is performed entirely by the device operating system. The App cannot access, collect, transmit, or store your face image, fingerprint, or biometric template. The App receives only a success or failure result from the operating system.
The first sign-in always requires the user’s LifeOS credentials. Enabling biometric unlock is optional and applies only to that user on that device. The App does not store the LifeOS password for biometric login.
3. Camera and photos
The App requests camera or photo-library access only when a user chooses to attach maintenance evidence. We do not access photos or camera content in the background. Uploaded evidence is visible only to authorized users within the relevant company account.
4. How we use and share data
We use data to provide the App, enforce role-based access, synchronize authorized LifeOS workflows, generate maintenance insights, maintain audit records, support users, and secure the service.
We do not sell personal data, show behavioral advertising, or use data to track users across apps or websites owned by other companies. Data is shared only with:
- authorized users and administrators in the same company account;
- other LifeOS applications enabled by that company, for the requested business workflow;
- infrastructure providers acting on our instructions where required to operate the service; or
- authorities when disclosure is legally required.
5. LifeOS integrations
When enabled by a company administrator, Maintenancelife can exchange business records with LifeOS services such as ITLife for identity and access, ProductionLife for machine references, AccountLife for fixed-asset references, StockLife for spare parts, ProjectLife for equipment handover, and related company systems. Integrations are tenant-scoped and use the organization’s permissions. They are not used for advertising or cross-company profiling.
6. Storage, security, and retention
Service data is stored on controlled servers in Indonesia and transmitted using encrypted HTTPS/TLS connections. We use tenant separation, role permissions, expiring sessions, audit trails, and restricted production access.
Maintenance and audit records are retained according to the customer organization’s operational, safety, contractual, and legal requirements. Uploaded evidence and personal account details are deleted or anonymized when no longer required, when the organization removes them, or after a valid deletion request, subject to mandatory retention obligations.
7. Access, correction, and deletion
Users may ask their organization administrator to correct profile access, deactivate their account, or remove user-provided content. A company administrator may request deletion or export of the company’s Maintenancelife data by contacting us. Privacy and deletion requests sent to admin@poi.co.id are verified and handled within 30 days, unless a longer retention period is legally required. Where maintenance records must be retained, personal identifiers can be deactivated or anonymized.
8. Children
The App is an enterprise workplace tool and is not directed to children under 13. We do not knowingly collect personal data from children.
9. Changes
We may update this policy as the App evolves. Material changes will be communicated through the App, the service, or the customer’s organization administrator. The revision date above identifies the current version.
